Job Summary:
The Executive Assistant (EA) to the CEO will play a pivotal role in supporting the CEO and senior stakeholders. This position requires a proactive, detail-oriented individual who can manage the CEO’s demanding schedule, handle confidential information with discretion, and work effectively within a complex matrix-structured organization. The EA will be responsible for scheduling calls and meetings, managing travel arrangements, and ensuring follow-ups with the team, thereby freeing up the CEO’s time to focus on strategic initiatives.
Key Responsibilities:
· Scheduling and Meetings: Efficiently schedule and manage calls and meetings for the CEO, ensuring optimal time management and coordination with internal and external stakeholders.
· Travel Management: Arrange and manage travel plans, including booking flights, accommodations, and ground transportation, while ensuring a seamless travel experience.
· Team Coordination: Follow up with the team on various projects and tasks, ensuring timely completion and providing updates to the CEO.
· Confidentiality: Handle sensitive and confidential information with the utmost discretion and integrity.
· Collaboration: Work collaboratively with other stakeholders as part of the institute providing backup support as required.
· Initiative and Proactivity: Anticipate the needs of the CEO and take initiative to address them, adding value through proactive support.
Skills and Competencies:
· Strong interpersonal skills and the ability to work effectively at all levels of the organization.
· Excellent organizational skills with the ability to set priorities, manage time effectively, and work with attention to detail.
· Strong oral and written communication skills in English.
· Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
· Ability to work successfully in a fast-paced, intellectually intense, service-oriented environment.
· Flexibility to interpret and apply rules and guidelines to enhance business outcomes while aligning with organizational values and culture.

Qualifications:
· A graduate degree from a recognized institution.
· Minimum of 4 years of work experience in a professional services, hospitality, or multinational company background. Administrative experience is an added advantage.
· Experience in managing complex reporting relationships within a matrix-structured organization.

The role will involve collaboration with executive and administrative assistants, visual service artists, receptionists, facilities staff, and team leaders.
